On-Call Summer Assistants

  • Job Description

    This role will work in a dynamic, professional environment as well as serve as an integral part of our summer conference team. By acting as a pivotal force in helping and assisting our guests, the on-call summer assistant will ensure that each groups’ hospitality needs are met. The following is a summary of the responsibilities: Preparing rooms for guests by performing room checks, coordinating linen requests, setting rooms, etc.; assisting with the check-in/check-out process by performing a variety of administrative tasks, communicating with conference groups, pulling keys and preparing files, checking in groups (including evenings/weekend hours); assisting at the community desks (up to 10 hours) when needed; attend weekly meetings; assisting with orientation and late-night programming; serving on an on-call emergency response duty rotation.
  • Qualifications

    Interested candidates must meet the following qualifications for employment:

    • Be a current student of IUPUI in good standing with a minimum GPA of 2.75
    • Perform duties assigned by following established schedules and prescribed methods and procedures
    • Demonstrate the ability to work as an individual and in a team atmosphere
    • Demonstrate the ability to maintain confidentiality of residents and guests
    • Demonstrate the ability to maintain a positive attitude and service-first demeanor
    • Must be able to work for entire summer period. Specific dates include, Wednesday, April 27th to Monday, August 19th (short vacations and days off may be arranged with direct supervisor).
  • Compensation

    Compensation includes a room/apartment during the summer along with $10.00/hour with an average of 15-27 hours/week.

Summer Assistants

  • Job Description

    The summer assistant staff will be placed in one of two available positions. 1) The Maintenance/Housekeeping role will assist with a wide variety of tasks related to the overall upkeep of the residential communities; practicing safe working habits and maintaining security of the facilities rooms and spaces. Additional responsibilities include: lifting and moving furniture and maintenance equipment; cleaning, painting and performing minor repairs; maintaining community grounds and trash removal; etc. 2) Community Desk Assistants will work in one of our four communities on-campus and will serve as the first point of contact for current and prospective residents as well as provide administrative support to the Housing and Residence Life Staff. Additional responsibilities include: greeting walk-ins, answering phones, conducting tours, performing lockouts, logging packaging, sorting mail, etc.

Summer Conference Housing Operations Internship

  • Job Description

    The Summer Conference Housing – Operations Intern(s) play a key role in the day-to-day management of conference/resident facilities and the needs of those guests. In this role the intern will gain experience in customer and client service, facility management, problem solving, communication skills, emergency response and time management.

    Daily and weekly tasks will include:

    • Staff the Community Desk to assist with various front of/back of house administration.
    • Staff Conference Check-ins/outs that fall outside of regular desk hours.
    • Serve as the on-site point of contact to resolve guest issues at check-in and throughout the duration of stay.
    • Perform final room checks prior to group check-ins; perform tasks such as placing linen, placing toiletries, cleaning missed spots when necessary.
    • Prepare cleaning lists for vendors; communication with vendors on-site providing instructions; tracking of vendor services and invoices.
    • Maintain linen inventory.
    • Prepare keys or key cards, envelopes, welcome packets for in-coming guests.
    • Conduct periodic room surveys to monitor room condition and ensure cleaning vendor quality and that maintenance issues are being addressed.
    • File maintenance issues, conduct follow-up as needed.
    • Respond to conference/resident needs after hours (on duty) to include lock outs, late arrivals, maintenance issues, guest medical emergencies and guest misconduct.
    • Attend weekly staff meetings
    • Conduct building preparation tasks – assist in the action plan 
  • Qualifications

    Interested candidates must meet the following qualifications:

    • Priority given to students focusing in: Physical Education & Tourism Management, Hospitality, Event Management, Business Management
    • Must be available to begin training at least 4 hours per week beginning April 1, 2016. The time will be used to instruct on client service techniques, facility operations and team building
    • Live on-campus in their designated facility during the defined summer internship period.
    • Be a current student of IUPUI in good standing

    • Demonstrate the ability to work as an individual and in a team atmosphere
    • Demonstrate the ability to maintain confidentiality of residents and guests
