Summer Housing Undergraduate Internship - OPEN

Summer Staff Members serve as an integral part of the Housing and Residence Life team by providing assistance with a wide variety of tasks related to the overall functioning and upkeep of the residential communities during the summer months. Whether it is working with summer residents taking courses or preparing for a summer conference, student staff members contribute by managing the day-to-day operations of the summer housing program.   • Qualifications

    Interested candidates must meet the following qualifications for employment:

    • Be a current student of IUPUI in good standing
    • Maintain a GPA of 2.75 (only for the Summer Conference Assistant position) 
    • Perform duties assigned by following established schedules and prescribed methods and procedures
    • Demonstrate the ability to work as an individual and in a team atmosphere
    • Must be able to work for entire summer period. Specific dates include, Monday, April 20th to Monday, August 24th (short vacations and days off may be arranged with direct supervisor). Please note important dates for training and summer positions at the end of the application.
  • Compensation

    The Summer Housing Experience offers two compensation packages:

    1. Summer Conference Assistants: Hourly paid position that includes on-campus housing. Students are required to work a minimum of 10 hours and a maximum of 27 hours per week. Summer Conference Assistants are responsible for being on-call during evenings and weekends. Assistance with weekend conference check-ins is mandatory. Students will have the option of being within a 10 minute radius of campus while being on-call. 
    2. All Other Positions: Hourly paid position that does not include on-campus housing. Students are able to work a maximum of 27 hours/week (7am – 11pm), Monday-Friday.

  • Positions

    Positions for summer include: Maintenance and Housekeeping, Community Desk Assistants, Housing Operations and Marketing Assistants, Special Projects and Summer Conference Assistants. Assignments are made through a formal interview process and at any point throughout the summer students may be switched to a different position, depending on the needs of the department.

    Maintenance and Housekeeping Assistant

    Serve as integral members of the Housing and Residence Life team by providing additional assistance during the summer months with a wide variety of tasks related to the overall upkeep of these residential communities; practicing safe working habits and maintaining security of the facilities rooms and spaces. Supervision is provided by the Building Services Manager and designated team leads, but certain projects will require collaboration with other members of the Housing and Residence Life staff. The following is a summary of the responsibilities of the position:

    • Lifting and moving of furniture and maintenance equipment
    • Cleaning, painting and minor repairs on residential rooms
    • Maintaining community grounds and trash removal
    • Other duties as assigned

    Community Desk Assistant

    The Community Desk Office Assistant will work in one of our four communities’ on-campus and will serve as the first point of contact for current and prospective residents as well as provide administrative support to the Housing and Residence Life Staff. Supervision is provided by each office’s professional staff members. The following is a summary of the responsibilities of the position:

    • Greeting walk-ins, answering phones, and fielding questions from residents and guests
    • Conducting tours and performing lockout service for residents
    • Creating office flyers, forms, publications and guides, as well as composing correspondences
    • Performing various clerical functions including, but not limited to, logging in packages, delivering notices, and sorting and routing daily mail
    • Other duties as assigned

    Housing Operations Office Assistant

    The Housing Operations Office Assistant will work in the main housing office and will serve as the first point of contact for current and prospective residents as well as provide administrative support to the Housing Operations Staff. Specific responsibilities include:

    • Greeting walk-ins, answering phones, and fielding questions from residents and guests
    • Conduct tours of the facilities
    • Creating office flyers, forms, publications and guides as well as composing correspondences
    • Assisting with the check-in and check-out process of residents
    • Reviewing of housing applications and entering data in the university systems
    • Other duties as assigned

    Marketing Assistant

    The Marketing Assistant will work in the main housing office and will assist with summer marketing campaigns and promotions. Supervision is provided by the Assistant Manager, Business and Marketing. Design experience preferred. Specific responsibilities include:

    • Creation of department ads, digital signage and large-scale campaigns
    • Assisting with the design and ordering promotional items including resident move-in gifts, t-shirts, staff wearables, etc.
    • Posting communications via Social Media and working with HOPS assistants with fielding questions from residents and guests
    • Conduct tours
    • Assisting with staffing orientation tables
    • Constructing e-newsletters
    • Working on miscellaneous projects that correlate with bridge and mass move-in
    • Other duties as assigned

    Special Projects Assistant

    The Special Projects Assistant will be responsible for completing tasks in a variety of areas for the department. Specific tasks and deadlines will be given by the supervisor. Supervision is provided by the Associate Director of Housing. Specific responsibilities include:

    • Facility improvement projects
    • Assistance with bridge and mass move-in
    • Working on large-scale campaigns
    • Other duties as assigned

    Summer Conference Assistant

    The Conference Assistant will work in a dynamic, professional environment as well as serve as an integral part of our summer conference team.  By acting as a pivotal force in helping and assisting our guests, the conference assistant will ensure that each groups’ hospitality needs are met.  The following is a summary of the responsibilities:

    • Preparing rooms for guests by performing room checks, coordinating linen requests, etc.
    • Assisting with the pre-check in process by performing a variety of administrative tasks, communicating with conference groups, pulling keys and preparing files
    • Assisting with checking in and out individual conference groups and guests (some evenings and weekends required)
    • Assisting at the community desks for up to 10 hours when needed during busy times
    • Serving in a Resident Assistant related capacity in the Riverwalk Apartments. This specific role will be assigned to three individuals in addition to their conference duties.
    • Attend weekly staff meetings as well as 1:1 meetings on at least a bi-weekly basis with their supervisor
    • Other duties as assigned
